Location Tracking Notice

Version 1.0 · Effective 1 November 2026 · Last updated 1 November 2026

In short

Ritwik One records your location only from the moment you tap Start trip until the trip ends. The Company uses it to measure the distance it reimburses and to confirm your visits. Nothing is recorded on days off, after a trip ends or when no trip is running. On Android, a “Trip in progress” notification shows for the whole trip.

1. Preamble

Ritwik Finance Enterprises Private Limited (“the Company”, “we” or “us”) provides Ritwik One, its staff app on the web and on Android (the “Platform”), to its employees and contract staff (“you”). This Location Tracking Notice (“Notice”) explains what the Platform records about where you travel, when, why, who can see it and for how long. The Privacy Policy covers everything else the Platform collects.

The Platform is an employee-monitoring tool, made only for the Company to use with its own staff. The Company processes trip data for the purposes of your work, which the Digital Personal Data Protection Act, 2023 treats as a legitimate use. It still asks your permission on the phone before any location is recorded.

2. When Your Location is Recorded

MomentWhat is recorded
Start tripOne accurate GPS fix, and the odometer photo stamped with location and time
During the tripA GPS point every few seconds while you move (location, accuracy, time)
Customer visitOne GPS fix, and the visit photo stamped with location and time
End tripOne final GPS fix, and the end odometer photo
No trip runningNothing

3. On Android and in a Browser

  1. Android app. During a trip the app keeps recording when it is closed or not in use, or the screen is off, so the whole route is measured. A “Trip in progress” notification stays on your phone for the whole trip.
  2. Before Android asks. The app first explains what it records and why. Recording a full trip needs location set to “Allow all the time”, because phones are usually locked while you ride or drive.
  3. Web browser. The route is recorded only while the Platform is open on screen. Recording pauses when the screen is off.
  4. Stopping. To stop recording, tap End trip. On Android 14 and later you can swipe the notification away, but the trip keeps recording. If you force-stop the app, recording stops at once and the route will have a gap.

4. What It is Used For

The Company uses trip location for:

  1. calculating the distance you travelled and the amount you are owed;
  2. cross-checking GPS distance against your odometer readings;
  3. showing your approver the route and visit locations, so they can approve your claim;
  4. showing administrators who is on an active trip right now (Live Fleet), for safety and operations; and
  5. flagging unusual patterns for a person to review, such as GPS distance that does not match the odometer, impossible speeds, or gaps and jumps in the route. A flag is not an accusation.

5. What the Company Does Not Do

The Company does not:

  1. record your location outside a trip: not on days off, not after a trip ends and not while no trip is running;
  2. read your contacts, messages, files or other apps;
  3. use location to rate your performance automatically, or rank anyone by distance, speed, idle time or route;
  4. use trip data to check your breaks, whom you meet off duty, or visits to places of worship, medical facilities or union meetings;
  5. act on an automatic flag or an AI reading alone: you will be shown the data and can explain first;
  6. sell location data, or use it for advertising or marketing; or
  7. track anyone other than the person who is signed in.

6. Who Can See It

  1. You: every point recorded on each of your trips, on the trip’s route map.
  2. Your approvers: the trips of the people who chose them as approver, so they can approve claims.
  3. Administrators and the tech team: all trips, and Live Fleet, which shows who is on an active trip and their latest position. They do not look at individual routes or photos without a work reason.
  4. Accounts team: wallets and travel claims, to make payouts.

The Company shares trip data with a government agency only on a lawful request approved by its legal team, and tells you unless the law forbids it. The Company’s service providers handle trip data only as the Privacy Policy describes.

7. Weak Signal

If you lose signal, GPS points are saved on your phone and uploaded when you are back online. Saved points are removed from the phone once the Company’s server confirms it has them. Do not clear the app’s data or uninstall it during a trip, or points not yet uploaded will be lost.

8. Your Choices and Challenges

  1. You can withdraw location permission at any time in your phone’s settings. Trips cannot be recorded without it, because distance is what the Company reimburses. If you cannot share location, speak to your manager about an alternative.
  2. Use a trip only for official travel. Short personal stops during a trip, such as a meal or fuel, are fine.
  3. If you think trip data, or a decision based on it, is wrong, raise it with your approver, then with your approver’s manager. Before trip data is used against you, the Company will show you the data, explain the concern and give you at least 3 working days to reply. Nobody suffers for challenging data in good faith.
  4. You can ask the Grievance Officer for a summary of the trip data the Company holds about you.

9. How Long It is Kept
